Terms and Conditions
The terms, privacy policy and refund policy that apply to everyone who registers for or attends MUMUN.
Terms and Conditions
1. General Terms
- The Mahindra University Model United Nations (the “MUN”) is a conference organised by Mahindra University. By accessing the MUN website, registering as a delegate, observer or participant, or booking accommodation, participants agree to comply with these terms and conditions.
- All registrations, committee allocations and accommodation bookings are subject to availability and confirmation. Committee agendas, schedules, rules of procedure, venues and participation criteria may be modified at the discretion of the Secretariat and organising committee without prior notice.
- Committee and portfolio allocations are made by the Secretariat and are final. Requests for change may be considered but are not guaranteed.
2. Conduct & Campus Regulations
- Participants must comply with the MUN rules of procedure, committee guidelines, campus regulations, and instructions issued by the Executive Board, Secretariat, organising committee, volunteers, or university authorities.
- Delegates are expected to maintain diplomatic decorum, respect for fellow delegates and the Executive Board, and formal dress throughout the conference. Rulings of the Executive Board on matters of procedure and conduct within a committee are final.
- Delegates must submit original work. Plagiarism in position papers, speeches or resolutions, or the use of unauthorised materials or devices in committee, may result in disqualification from awards or from the conference.
- Failure to adhere to MUN rules, the code of conduct, or campus policies may result in immediate disqualification from the conference and removal from the university premises without refund.
- Possession or consumption of prohibited substances, involvement in violence, harassment, discrimination, vandalism, or any unlawful activity will result in immediate removal from campus and may be reported to relevant authorities.
3. Awards & Evaluation
- Awards, certificates and commendations are decided by the Executive Board and Secretariat based on committee performance. Their decisions are final and not open to appeal.
- Participation certificates will be issued only to delegates who attend the conference in full, unless otherwise decided by the organising committee.
4. Liability
- The MUN and Mahindra University shall not be held liable for any personal injury, loss, theft, or damage to personal belongings occurring during the conference. Participants attend and participate at their own risk.
5. Accommodation Terms & Liability
- Where accommodation is offered, booking is subject to participant eligibility and room availability. Room allocations are provisional and may be reassigned based on operational requirements.
- The MUN and Mahindra University reserve the right to modify, reassign, or cancel accommodation bookings at any time, including without prior notice in cases such as overbooking, safety concerns, policy violations, or other administrative constraints.
- Participants are fully responsible for maintaining the allotted room in good condition. Any damage, loss, breakage, or misuse of room property caused by the participant or their associates may result in recovery of costs, disciplinary action, eviction from accommodation, and/or removal from conference premises.
- The MUN and Mahindra University shall not be liable for loss, theft, or damage of personal belongings inside accommodation facilities.
6. Media Consent
- By participating in the MUN, attendees consent to photography, videography, and media coverage that may be used for promotional, academic, or archival purposes by the MUN or Mahindra University.
7. Governing Law
- All disputes arising in connection with the MUN shall be governed by the laws of India and subject to the exclusive jurisdiction of courts located in Hyderabad, Telangana, India.
Privacy Policy
1. Data Collection
- We collect user details such as name, email address, mobile number, institutional information, committee preferences and prior MUN experience for purposes including conference registration, committee allocation, communication, authentication, logistics, and security.
2. Data Usage & Sharing
- Payment information is processed securely through authorised payment gateway providers and is not stored on our servers. User data is not shared with third parties except where required for payment processing, verification, or legal compliance.
- Names and committee details may be shared with Executive Board members and the organising committee strictly for conducting the conference.
3. Data Protection
- Reasonable technical and organisational measures are implemented to protect user data against unauthorised access, misuse, or disclosure, in line with applicable Indian data protection laws.
Refund and Cancellation Policy
1. General Policy
- All conference registrations and accommodation bookings are generally non-refundable. Cancellation or non-attendance by participants does not qualify for a refund.
- Accommodation bookings may also be cancelled or modified by the MUN due to operational constraints (including overbooking) and are generally non-refundable unless explicitly approved by the organising committee.
2. Eligible Refunds
- Refunds will only be considered in cases where the conference is officially cancelled by the organising team, or in the event of a verified technical error resulting in duplicate payment.
- If a committee is cancelled or merged by the organising team, no refund will be issued. Affected delegates will instead be reassigned to another available committee, subject to the Secretariat’s discretion and availability of portfolios.
3. Refund Process
- Eligible refunds will be processed via direct bank transfer. Participants may be required to provide valid bank account details (account holder name, account number, IFSC code, and bank name) through the official MUN contact email for verification.
4. Force Majeure
- In case of force majeure events including but not limited to natural disasters, government restrictions, or unforeseen institutional decisions, the MUN reserves the right to modify, postpone or cancel the conference without liability beyond refunding eligible registration fees where applicable, and to cancel or merge any committee, in which case affected delegates will be reassigned to another committee.
